Attention All Staff Who Have Medical Insurance With Maple Heights City Schools:

Open enrollment this year for anyone wishing to make changes to their insurance benefits officially begins on August 15, and runs through September 15, 2017.  You will be able to begin signing up for an appointment to make changes at the convocation on August 18th.  We will have a table in the back of the room for you to register if you are interested in making changes.  We will then contact you to set up a time for you to discuss those changes and fill out the necessary paper work.  You may also email me indicating that you are interested in changing your benefits.  All benefit changes are effective October 1, 2017.

This does not include those people who may have a qualifying event, such as getting married, having a baby, a spouse losing a job, or divorce, and others you can ask about.  Those events make coverage effective the date  that it happens.  You still need to contact me to fill out the necessary paperwork within 30 days of the qualifying event, the sooner the better.  If your status change is not submitted within 30 days, benefit changes cannot be made until the next year’s open enrollment.

Finally, please take the time to read the attachments that are sent to you as required by law.  There is some good information.  All of these attachments will also appear on the Maple Heights City Schools website under Payroll/Benefits under the Tools tab.  Everyone should have an email address, but if you know someone who is not using it and have insurance benefits, please advise them to do so to receive this important information.

It is open enrollment for our 2017 Flexible Spending Account plan.  You can use the FSA plan to pay for your out-of-pocket healthcare or daycare expenses with pretax earnings and save.  Simply designate a specific amount of your pay (before taxes are withheld) to go into your FSA to use for expenses you will have in the coming year.

Open enrollment for our FSA plan is now through September 15, 2017.   You can enroll online, or make your election on a paper form.

Maple Heights City Schools has contracted with a third party administrator at no cost to the District to oversee all 403B and 457 plans.  The company is PlanConnect.  They have been hired to monitor all transactions under the current plan and any new ones that may be added in the future by current or new employees.  Their system is designed to have easy access for the employees to make changes in employee contributions, to help remit contributions to the approved providers of Maple Heights City Schools, and to assist us in assuring that our plans are compliant with all IRS regulations.  Employees will receive more information directly from PlanConnect that will provide instructions to log on to their website where you can view your account information, as well as make payroll deduction changes to your 403b/457b accounts as an option to fill out paper forms. 


Effective January 1, 2014, the Affordable Care Act (ACA) required all Americans (with few exceptions) to be covered under a health care program that includes minimum essential coverage or pay a tax penalty on their 2014 tax return. 
   Employers and Insurers are NOT responsible for providing this proof of coverage for the 2014 tax year. 

   The IRS Website (link below) Question 26 points out that for 2014 you may simply check the box on your return. 

    (Tax forms are signed under penalty of perjury to ensure that information is honest and correct.)

   Some tax advisors are asking for proof of coverage to include with the 2014 tax return. 

   You may provide a copy of your medical ID card.

   For tax year 2015 (file in 2016), employers WILL be responsible for providing employees with proof of coverage. 

   Maple Heights will comply at this time.

As you may know, if you have an adult dependent child covered by the Maple Heights City Schools health and prescription drug plan, such coverage will terminate at the end of the month in which the adult child turns age 26. 

Due to Federal Healthcare Reform Legislation, it is important to remember that all individuals in the United States will be required to have health insurance effective January 1, 2014.  This is also known as the “individual mandate”.  There are very few exceptions to this mandate, and failure to have health insurance beginning January 1, 2014 will result in a tax penalty.

Therefore, if you have an adult dependent child who is approaching the age of 26, please remember the child will no longer be eligible for the Maple Heights City School health plan, AND such adult child will be required by federal law to have health insurance.  Options for obtaining health insurance are, the adult child’s own employer or work place, purchasing insurance through the individual insurance market (the “Marketplace”), or through Medicare or Medicaid.  COBRA will also be available under the Maple Heights plan for a specified period of time.  You can research individual insurance options and the requirements of the individual mandate at www.healthcare.gov.
